What is your lead capture process?

"I have connected forms that I set up in Dubsado to my business website.  When prospects are interested in booking or getting more information from me, they click a link on my site that leads to the Dubsado form I have created for the specific service."

STEP TWO

What is your onboarding process?

Prospect completes Dubsado form on my website.

  • Automated email sent to prospect via Dubsado explaining process with link to schedule Discovery Call.

  • Appointment reminder email sent via Dubsado (day before).

  • After our call, I create and send a custom proposal with contract & invoice attached via Dubsado within 2 business days.

  • Prospect views accepts proposal or requests revisions.

  • Client signs contract and makes deposit payment of 50% or 25% (depends on agreed upon payment structure).

  • Confirmation & welcome email is automatically sent via Dubsado within 24 hours of payment describing process in detail.

  • Email Includes an invitation to their Dubsado portal where they can complete all required prep-work/forms for the project including the Creative Brief by a specific date in order to avoid delays.

  • The portal also contains a document outlining timeline of milestones and deadlines for the project.

  • Client completes and submits Creative Brief and all required project prep work in Dubsado portal.

  • Automated email sent via Dubsado to client to schedule our 60-minute Kickoff Call.

My favorite thing about the process is the client portal.  There is one place that my client can go to access all of the documents and emails related to the project instead of having to create her own folder or search her email every time she needs to refer back to something."

STEP THREE

What is your client management process?

"I strive to keep my clients educated via multiple touchpoints during our project.  I clearly communicate expectations, procedures and next steps.

I review my process at a high level in the Discovery Call and go more into detail during the project kick-off call.
Prior to our project kick-off call, I send the client an email containing a welcome packet. The packet is also included in his/her Dubsado Portal.  It includes a dated project timeline, advises the client of all the ways available to contact me throughout the project & which contact methods are to be used for specific issues/messages. (i.e. Voxer is only for project questions or ideas, not billing concerns)

Email reminders are set up in Dubsado and are sent prior to all client deadlines.

I include boundaries in my email signature-- Business hours, Voxer hours, Email response expectations (ex. within 48 business hours)

I send a weekly check in email on Fridays regardless of if anything really significant has happened in the project."

What is your payment process?

"I have 2 different payment plan schedules available for my clients: 50/50 or 40/30/30.  I ask my clients which plan is best for them during our discovery call and apply to the proposal and invoice before I send it.  My favorite thing is that it is so easy and customizable.  I can make the due dates relative to project dates or I can choose fixed dates that I've discussed with my clients to meet their needs and income variances."
